Executive Assistant To Chief Executive Officer

Your mission is to assume the critical role of the CEO’s “extension” by offloading him (and his executive team) with mundane tasks to enable him to lead the organization and focus on strategic projects.

Key Deliverables for This Role:

  • Effective calendar management: Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagement
  • Own a broad variety of administrative tasks such as travel arrangements, appointment setting, mailing, T&E reports, and note taking
  • Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgment to reflect CEO’s style and organization policy
  • Act as a "barometer," having a sense for the issues taking place and keeping the CEO updated. Anticipate the CEO's needs in advance of meetings, conferences, etc.
  • Herding the cats: project management, following up with the participants, task delivery, cross-team coordination (internal and external)
  • Documentation preparation: letters, write-ups, presentation creation, designing and producing complex documents, reports, financial report preparation, analytical and research assistance

Traits of a Strong Candidate:

  • Significant executive support experience
  • Expert proficiency with Microsoft Excel, PowerPoint, and Google Suite
  • Deep financial literacy, practical experience with preparation and analyzing financial reports
  • Strong verbal and written communication skills
  • Exceptional organizational skills and impeccable attention to detail
  • High degree of professionalism
  • Ability to complete a high volume of tasks and projects with little or no guidance
  • Ability to react with appropriate levels of urgency to situations that require quick response or turnaround
  • Ability to maintain high level of integrity and discretion in handling confidential information
  • Excellent judgment is essential

Minimum Qualifications:

  • Bachelor degree
  • 5+ years of executive-level experience
  • Proficiency in Excel
  • Financial literacy

Nice to Have:

  • Manufacturing industry experience
  • Russian speaker (basic)
  • MBA
