Allrounder/Executive Assistant/Administration Support
Your responsibilities:
- Efficient administrative and organizational support for the team
- Independent and efficient work on the agenda with coordination of meetings and events
- Planning, organization, booking and follow-up of meetings, appointments and business trips nationally and internationally
- Preparation and updating of KYC documents, support in or taking lead on account openings at custodian banks
- Preparation of offers, business letters and contracts
- Preparation of presentations and extensive correspondence with clients and third parties in German and English
- First stop for internal and external stakeholders
- Participation in various projects with project management and follow-up
- Support in guiding and educating interns
Requirements profile:
We would like to have a very independent and committed personality with a great organizational ability and team spirit, who appreciates absolute discretion. Your strengths are comprehension and flexible thinking. You can work under pressure, handle multiple tasks at once and do not take criticism personally.A high level of detail orientation is essential.
The following qualifications and characteristics complete your profile:
- Professional experience as an assistant in a demanding family office (preferred) or (private) bank
- Experience in Financial Industry or Fiduciary Services industry. Previous career in Big Four is a plus
- Knowledge in founding and liquidating companies, foundations and trusts in different jurisdictions
- You proactively seek for and identify tasks that need to be done, rather than waiting for others to give you a new task
- Understanding of basic accounting, tax and fiduciary industry
- Fluent in both GermanandEnglish. Knowledge of Russian language is a plus and any other language an asset
- Versed computer skills for everyday use
- Dynamic personality with the ability to do a multi-tasking job, operational commitment and a professional approach
- University degree is a plus
